Not Sure Where to Start with AI? Start with One Small Task

Adriana Ibañez · Casati Consulting ·

You want to use artificial intelligence in your business, but the possibilities seem endless: automate sales, connect platforms, build assistants, organize operations…

With so many options, choosing a first step can feel overwhelming.

Start with everyday work. The tasks that keep you searching for information, copying data, or asking the same questions over and over.

Tracking expenses is a good example.

One receipt, several messages, and a spreadsheet to update

Someone buys materials and sends the receipt through WhatsApp. Another person messages you about a shipping payment. You make a transfer and think, “I’ll log it later.”

When it’s time to update your expenses, you have to piece everything together: Which project was this purchase for? Who made the payment? What currency was used? Has this expense already been recorded? Where is the receipt?

Before you can update the spreadsheet, you need to find and complete the information. That’s where AI can help.

Start with a file and a clear instruction

You can share your expense spreadsheet along with the receipts or messages you want to add, then ask an AI tool to organize the information.

“Help me record these expenses using the columns in this file. If any information is missing, ask me before completing the entry. Don’t make up information, and flag possible duplicates.”

A message like “I paid $85 for materials for Maria’s project” can become a structured entry. If the date, currency, or payment method is missing, the AI can ask you for it.

Depending on the tool you use, you can receive an updated file or a table ready to add to your expense tracker.

This small change can reduce the time you spend entering and organizing information.

Next, connect the place where expenses come in

If your team already reports expenses through WhatsApp, you can explore an integration that works with that habit.

Once configured, the workflow could look like this: someone sends an expense or receipt through the connected channel; AI identifies the available information; the system requests missing details; and the expense is added to your chosen table, with a receipt reference and a review status.

This requires connecting the tools and setting their permissions. You also need to confirm that the integration supports the channel your team uses, particularly if you work in WhatsApp groups.

The goal is to get complete information into your records with fewer manual steps.

Set a few clear rules

Before automating, decide what each entry needs: required details such as date, amount, and currency; expense categories and project names; a person responsible for reviewing entries; and a process for unreadable receipts or possible duplicates.

When information is missing or unclear, the entry can remain pending review.

AI helps interpret the information. Your business rules determine how it should be recorded.

Test it and review the results

Start with a small batch of expenses and see what changes.

Does updating the file take less time? Are fewer details missing? Can you find receipts more easily? Are you spending too much time correcting entries?

Use those answers to refine the process before rolling it out to the rest of your team.

Your first improvement can be this simple

Look for a recurring task with clear inputs and an output you can easily check.

It might be tracking expenses, turning meeting notes into action items, or sorting customer requests.

Start with one small task that’s taking up your time today. Make sure it works, then build from there.

At Casati, we help you identify those opportunities and turn them into processes your team can use every day.
